The Checklist vs. The Cathedral
A colleague once showed me a workflow diagram that looked like a map of the London Underground. It had hundreds of little boxes, colored arrows, and specific rules for every possible tiny event. It was beautiful in a way. It was also completely useless. Every time someone actually tried to use it, they got stuck somewhere in the middle of a "decision node" and just gave up.
We do this a lot. We take a tiny, understandable problem and build a massive, complicated machine to solve it. We call it "optimization" or "scaling, " but sometimes, it's just building a cathedral when what we really needed was a sturdy wooden stool.
The urge to overengineer is actually quite human. We want to feel like we are in control. We think that if we account for every single variable, nothing can ever go wrong. It feels safe to have a thirty-step process for something that usually takes five minutes.
But complexity has a hidden cost.
- The Friction Problem
When a system is too big, people stop using it. This is a fundamental rule of operations. If a process is hard, humans will find a way to bypass it. They will start using their own "shadow" systems-sticky notes, private spreadsheets, or just mental notes.
Suddenly, you don't have a sophisticated company workflow. You have a sophisticated company workflow that nobody is actually following, replaced by ten different versions of chaos happening in the background.
A simple checklist is easy to follow. It's hard to ignore. You can see it, you can check it, and you can finish it. You can't "check off" a complex software integration that requires three different logins and a permission request from a manager who is always at lunch.

There is a concept in engineering called "tight coupling. " It basically means that if one part of a system breaks, everything else crashes too.

When things are simple, they are resilient. If a single person forgets a step on a three-step list, you can fix it in seconds. If someone messes up a step in a thirty-step automated pipeline, you might spend three days trying to find where the logic went wrong.
Complexity creates a trap. It makes you feel productive while you are actually just making the foundation of your business more fragile.
The Illusion of Progress
We often mistake complexity for intelligence. We think that a complicated solution must be better because it looks like more work went into it.
But real intelligence is often found in subtraction. It is the ability to look at a mountain of requirements and say, "Actually, we only need these three things to get the job done. "
It takes a lot of courage to keep things simple. It is much easier to hide behind a massive, complicated system. If a simple system fails, it's clearly your fault. If a massive, complex system fails, you can blame the "interconnected variables" or the "systemic complexity. " It provides a very comfortable shield for mediocrity.
Wisdom in Operations
If you are looking at a process in your office or your project, ask yourself a few questions.
Is this solving a real problem, or is it just satisfying my desire to feel organized? If I removed half of these steps, would the end result actually change? Am I building a tool, or am I building a maze?
Sometimes, the best way to move forward is to take a step back and strip everything away. Strip away the extra software. Strip away the redundant meetings. Strip away the unnecessary approval layers.
Keep the core. Protect the rhythm.
A checklist might not feel as impressive as a custom-built software suite, but a checklist actually gets things done. And in the real world, getting things done is the only thing that truly matters.
